Return to the office - Planning

In advance of employees’ return to the office, IT and office management teams face a critical challenge: they have no insight into their workforce’s new working style preferences and expectations (hybrid, remote, office…). Without this vital knowledge, they cannot set up accurate digital and physical provisioning strategies, leading to sub-optimal workplaces and unnecessary costs. In addition, organizations have no effective, targeted approach to drive awareness around new office regulations, set-ups, and best practices for returning employees; they also have no real evidence that employees are enjoying their new offices or how it impacts their daily digital experiences.
Using three Engage campaigns, the Return to the office - Planning pack will allow you to:
Inform your employees of new rules and policies and validate with them that they have been understood.
Understand your employees’ work style preference before returning to the office
Understand your employees' IT equipment requirements
Identify new hires that have never worked in the office
Measure employees’ opinions on the provision of IT services on their return.
This campaign is designed to be sent to all employees in advance of their planned return to the office to ascertain their change of status, their desired way of working, and their technical requirements for a successful return.
They will first be asked where they used to work before Covid precautions, and remote working began. They will then be asked whether they will require IT assistance on their return to the office; this is designed to aid those employees who have maybe changed team and are not sure where in the office they will be returning to, or even those employees who were hired during the remote working period and who have potentially never worked in your company premises. This information will allow you to ensure that sufficient IT support staff are present on-site for employees’ return to the office. The next question forms the crux of this campaign. Employees are asked for their work style preference going forward; full-time office, part-time office, or fully remote. The results to this question should be used to help guide you with your office capacity planning, with due consideration firstly for the number of employees who fully completed the campaign and more importantly, how these preferences fit in with your existing corporate/regional/departmental working policies. The campaign includes two hardware-related questions. Employees are asked what equipment if any, they removed from the office. This can be used to ascertain what equipment may either be returning or need replacing. They are also asked to specify what equipment they will require to return to the office (a laptop dock, an external monitor, etc.). You should use this information to help ensure that your office IT infrastructure is ready for employees’ return, with due consideration for the ratio of fully completed responses.
It is probably a requirement that employees adhere to new company policies when they return to the office. An Engage campaign entitled “Welcome to the Office” is included with this pack. This campaign is configured, via an Investigation, to be delivered to employees as their network status changes and they connect to the corporate network from inside the office. This campaign will allow you to inform your employees of new rules and policies and validate with them that they have been understood. Use this dashboard to measure the acceptance of these new policies across your organization and to identify those employees who have rejected the campaign who may need to be contacted before they can return safely.
A Satisfaction survey will be sent to all respondents of the previous campaign “Welcome to the Office” after one week, to allow you to measure those employees’ opinions on the provision of IT services on their return to the office. A free text field is included in the opinion scale question. Using the Finder, you can use the option “Display Results” for the campaign to display any free text comments that campaign respondents may have left to gain insight into what issues they may be experiencing.
As seen above, three separate responses have been received with “Somewhat Dissatisfied” status with a common complaint about WiFi issues on the 4th floor. This creates a clear action point for your IT support staff to investigate.
Respondents will also be allowed to log a helpdesk ticket if required and will be asked to confirm whether or not this was necessary.
This campaign is not included in the pack by default but is available for download below if required.
It is possible that company devices may not have been updated fully whilst away from the corporate network, or that application-specific updates are required that can only be launched from a script file. In these cases, the Update Device campaign can be added to this pack and customized to facilitate the delivery of complicated updates required before your employees return to the office.
A dashboard entry similar to this below can be created to display the results of this campaign once it has been run:
This dashboard contains the key KPIs and information from the more detailed dashboards described below. Employees expressed work style preference is shown, followed by a visualization of the equipment they will require on returning to the office. The number of employees who have requested IT assistance for their first day back precedes key KPIs and a ratio summary of employees' opinions on the provision of IT services on their return to the office.
This dashboard concentrates on your employees and their preferred working style, as expressed by their campaign responses. This preference is broken down by department and location. Additional KPIs show how this preference might have changed from how employees worked before the mandatory remote working period. Finally, the number of employees who have requested IT assistance to return to the office is shown. This could be employees who have maybe changed team or even been hired after remote working began, who may therefore be returning to a different, or new office environment. In this case, they may well need some IT assistance on their first day to enable them to get connected successfully.
This dashboard concentrates on your employees’ devices, what equipment they require for a successful return to the office, and what equipment they might have removed from the office before mandatory remote working began. The first section shows a breakdown of employees’ responses to what equipment they will need on their return to the office. You should use this information to help ensure that your office IT infrastructure is ready for employees’ return. Breakdowns by location and department will enable you to make sure that individual offices are provisioned correctly. The second section shows a breakdown of the number of employees who responded as having taken equipment from the office. This will give you an indication of what equipment may either be returned, or need to be replaced.
It is probably a requirement that employees adhere to new company policies when they return to the office. Use this dashboard to measure the acceptance of these new policies (as delivered by the Welcome to the Office campaign) across your organization and to identify those employees who have rejected the campaign, who may need to be contacted before they can return safely. The dashboard shows the percentage of employees who have completed; or declined the campaign. The acceptance of new, or changed office requirements and IT best practice policies by campaign respondents is shown, breakdown by department and location.
This dashboard concentrates on your employees and their opinions on their return to the office. A Satisfaction survey will be sent to all respondents of the previous campaign “Welcome to the Office” after one week, to allow you to measure those employees’ opinions on the provision of IT services on their return to the office. It contains KPIs for the percentage of employees who completed the campaign, the most dissatisfied employees, and the number of helpdesk tickets logged by campaign respondents. Line graphs show the change in satisfied and dissatisfied employees and the full survey results are shown as ratios and via departmental breakdown. Where you have large numbers of dissatisfied employees, you can use the Finder to get more information.
The Welcome to the Office campaign is configured, via an Investigation, to be delivered to employees as their network status changes and they connect to the corporate network from inside the office. This Investigation relies on certain categories being populated, namely:
Shared - Device - Hardware Type Remote Worker Experience - Remote Worker vs Office Worker Device
You can, of course, modify this Investigation with your own parameters if required.
The three campaigns included in this pack will require some customization. The Needs Assessment campaign will only need customisation if you wish to change the equipment list that employees can choose from. The Welcome to the Office campaign contains hyperlinks to work policy and IT best practice documents. These will need to be configured. The Satisfaction Survey campaign contains a hyperlink to a ticketing system. This also will need to be configured if you want employees to be able to log tickets as part of this campaign.
